This guide explains the core technology behind Outsolvi's email tracking, how tracking pixels detect opens, how link wrapping detects clicks, and how our bot filtering engine separates real engagement from automated scanners.
Tracking Pixels
When you send an email through Outsolvi, an invisible 1×1 pixel image is automatically embedded in the HTML body. When the recipient's email client loads this image, it sends a request to our servers, registering an "open" event with the timestamp, IP address, and device information.
Link Click Tracking
Every link in your email is automatically wrapped with a redirect URL. When the recipient clicks a link, the request passes through our server (recording the click) before redirecting to the original destination. This happens in milliseconds, the recipient never notices.
Bot & Scanner Filtering
Outsolvi's detection engine identifies known email security scanners (Microsoft SafeLinks, Barracuda, Mimecast, etc.) and filters them from your results. Every event gets a plain-English trust badge (Most-likely human, Possibly human, Scanner, Self-open, Machine preview, or Link preview), and only Most-likely human events count toward your totals, so automated activity never inflates your numbers.

Installation
Option 1: Open Outlook → Get Add-ins → search "Outsolvi" → click Add.
Option 2: Download the VSTO installer from your dashboard → close Outlook → run the installer → reopen Outlook. Look for the Outsolvi button in the Home tab ribbon.
The Panel
Click the Outsolvi button to open the side panel. Sign in with your credentials. The panel shows your recent emails, tracking status, and real-time notifications.
Sending Tracked Emails
Just compose and send normally. Tracking is automatic when you're signed in. You'll see a "Tracking Active" indicator in the panel.
Troubleshooting
If the button disappears: Go to File → Options → Add-ins → Check "Disabled Application Add-ins" → Re-enable via COM Add-ins. Outlook sometimes disables add-ins after updates.

Installation

2. Click "..." (More actions) → Get Add-ins
3. Search for "Outsolvi"
4. Click Add to install
Using the Add-in
When composing an email, click the Outsolvi icon in the toolbar. Sign in with your credentials. The add-in panel opens on the right side showing tracking status and your recent activity.
Real-Time Updates
Outlook Web uses Server-Sent Events (SSE) for near real-time updates, you'll see opens and clicks within about 5 seconds. The connection auto-reconnects if interrupted.
Tips
• Pin the Outsolvi panel for quick access during your session
• If "Get Add-ins" is unavailable, your IT admin may need to approve it
• The add-in works identically in New Outlook and Outlook Web

What is a Sequence?
A sequence is a series of timed follow-up emails. You create templates for each step, set delays between steps (e.g., "wait 3 days"), and enroll contacts. Outsolvi sends the emails automatically.
Creating a Sequence
1. Go to Sequences → New Sequence
2. Name your sequence and add steps
3. Write the template for each step (supports personalization variables like {{firstName}}, {{company}})
4. Set the delay between steps
5. Use {option1|option2} syntax for random variations
6. Save and activate
Auto-Stop on Reply
When a contact replies to any email in the sequence, they're automatically unenrolled, no more follow-ups are sent.
Health Check
Each step has a built-in health check that scores your email for spam triggers, content quality, and deliverability. Use the one-click fix suggestions to optimize before sending.
AI Templates
Use Outsolvi's AI assistant to generate personalized email templates based on your context, tone, and goals.
How to add, import, organize, and track engagement for your contacts in Outsolvi.
Adding Contacts
Go to Contacts → Add Contact. Enter their email (required), name, company, title, phone, LinkedIn URL, and notes. Contacts are automatically linked to tracked emails you send them.
CSV Import
Go to Contacts → Import → upload a CSV file. Map your columns to Outsolvi fields. You can import up to 1,000 contacts at a time. Duplicates are detected by email address and skipped.
Custom Fields
Add your own columns to the contacts table: text, number, date, dropdown, and more. Click the + button on the table header to create a new field. Edit field values inline directly in the table.
Contact Detail Panel
Click any contact to open the detail panel with tabs for Overview (info + custom fields), Notes (timestamped), Tasks (create/complete), and Activities (full email engagement history).
Bulk Actions
Select multiple contacts to bulk delete, update fields, or export as CSV.
Set up your team, assign roles, share templates, and control who sees what data.
Inviting Members
Go to Team → Invite Member → enter their email and choose a role. They'll receive an invitation email with a link to join your team.
Roles & Permissions
Owner: Full access to everything, billing, members, all team data.
Admin: Can see all team data and manage members, but can't access billing.
Manager: Can see their own data plus their direct reports' data.
Member: Can only see their own tracking data.
Data Visibility
Each role has a specific data scope. Members only see their own emails. Managers see their team's emails. Admins and Owners see everything. This is enforced at the API level.
Managing Members
Change roles, resend invitations, or remove members from the Team page. Pending invitations appear in a separate tab.

KPI Cards
The top row shows key metrics with trend arrows: Total Emails Sent, Opens, Clicks, Open Rate. Each card shows the percentage change vs. the previous period.
Charts
Activity Timeline (opens/clicks over time), Device Distribution (desktop vs mobile donut chart), Browser Distribution (Chrome, Safari, Firefox, etc.), and Location Distribution (top countries by engagement).
LinkedIn Analytics
When filtered to LinkedIn: Lead Status Distribution, Action Type Distribution, Campaign Performance with lead and reply counts.
Filters
Filter by date range (7-90 days), channel (All, Email, LinkedIn), team member (for admins), and source. All charts update in real-time as you change filters.
Team Analytics
For Admins and Owners: per-member breakdown showing emails sent, open rates, and click rates for each team member.
How Outsolvi protects your data and your recipients' privacy.
Encryption
All data in transit uses HTTPS/TLS encryption. Your database is encrypted at rest using AES-256. Passwords are hashed with scrypt (we can never see them). API keys are hashed with bcrypt. Sensitive credentials use AES-256 encryption with unique keys.
Authentication
Outsolvi uses secure session-based authentication with 90-day session tokens that auto-renew to keep you signed in without compromising security. Native two-factor authentication for regular accounts is on the roadmap; today, enabling 2FA on your email account adds a strong extra layer, since account recovery runs through email.
GDPR Compliance
We only collect data necessary for email tracking. We never sell or share your data with third parties. You can request data export or deletion at any time by contacting support@outsolvi.com.
Recipient Privacy
When someone opens your email, we record: IP address (for approximate location), device type, browser, and timestamp. We don't build profiles, track browsing, or follow recipients across the web.
Infrastructure
Outsolvi runs on hardened cloud infrastructure with automatic backups, DDoS protection, and high availability. Your data is stored in encrypted databases.

What is a Custom Tracking Domain?
By default, Outsolvi tracking links use our domain. A custom tracking domain lets you use your own domain (e.g., track.yourcompany.com) instead, which improves deliverability and looks more professional.
Setup
1. Choose a subdomain (e.g., track.yourcompany.com)
2. Go to Settings → Tracking Domains → Add Domain
3. Add the CNAME record shown to your DNS provider
4. Click Verify once DNS propagates (usually 5-30 minutes)
5. Set as your default tracking domain

Monthly vs Yearly Billing
Yearly billing saves 42% on the Individual plan. You can switch between monthly and yearly anytime from Settings → Billing, Outsolvi prorates the change automatically.
Usage Limits
Paid plans have no monthly cap on tracked emails. View your current usage anytime in Settings → Billing.
Upgrading
Go to Settings → Billing → Manage Subscription. Choose your new plan and complete payment through Dodo Payments. Upgrades take effect immediately.
Managing Payment
All payments are processed securely through Dodo Payments. View invoices, update your card, download receipts, or change billing frequency in the billing portal.
Cancellation
Cancel anytime from Settings → Billing. Access continues until the end of your billing period. Your data is preserved, upgrade again anytime to restore full access.
