Most guides to email tracking quietly assume you use Gmail. If you live in Outlook, half of what they recommend does not apply, and a surprising number of the tools they name will not even install. This is the guide for the Outlook side of the world.
First, the thing that is not tracking
Outlook has read receipts. When you turn one on, your recipient gets a prompt asking whether to send you a receipt. They can click no. Most people do, or their company turns receipts off entirely. Even when it works, you learn one thing: that they opened it once, at some point. Nothing about repeat opens, links, or timing.
So if you have been relying on read receipts and wondering why nothing comes back, that is why. It is a courtesy feature, not a tracking feature.
How real tracking works in Outlook
Real email tracking in Outlook uses an add-in. When you hit send, the add-in inserts a tiny invisible image (the pixel) and swaps your links for tracked versions. When the email is opened, the image loads and the tracker records it. When a link is clicked, the click passes through the tracker on its way to the destination.
That gives you the things read receipts cannot: when the email was opened, how many times, on what kind of device, and which links were clicked. It works in the desktop app, in Outlook on the web, and on mobile, as long as the add-in supports those surfaces.
The catch: many trackers do not support Outlook at all
Here is the part that costs people an afternoon. A lot of the trackers you will see recommended are Gmail browser extensions. They install into Chrome, they hook into the Gmail compose window, and they simply do not exist for Outlook. Others support Outlook on the web but not the desktop app, or the classic desktop app but not the new Outlook.
Before you compare features or prices, check one thing: does it run in the version of Outlook you actually use? The Outlook-specific problem nobody warns you about
Corporate Outlook environments almost always sit behind a security gateway. Microsoft Defender, Mimecast, Proofpoint and their peers scan every incoming email by opening it and following every link, usually within a second or two of delivery. To a basic tracker, that looks exactly like a person opening your email and clicking your pricing page.
The result is the complaint we hear most from Outlook users: "my tracker says everyone opens my email within ten seconds." They did not. A machine did. If your tracker counts those, your open rate is fiction and your hot-lead alerts point at spam filters.

When it is working, you should be able to open any email you sent and see, right under the subject line, something like: tracked, 3 real opens, 1 click, 2 follow-ups sent, 1 scheduled, and a button to schedule the next one. No dashboard hunting. If a tool cannot show you that inside Outlook, it is making you do the work.
