Follow-ups that send themselves, and stop the second they reply

Someone searching automated follow-up is a seller or founder losing deals because they forget to follow up, who wants the follow-ups to send themselves without sounding like a mass blast or double-sending after someone has already replied.

Most deals are not lost on the first email. They are lost on the follow-up that never went out. People get busy, the thread slips down the inbox, and a warm prospect goes cold because nobody circled back. Doing it by hand is exhausting and easy to drop, and a mass-merge blast feels like spam.

Outsolvi's automated follow-up is the fix. You write the steps once, a couple of emails on the days that make sense, and Outsolvi sends them for you from your real inbox, on schedule. The moment someone replies, the rest of the sequence stops on its own. No awkward 'did you see my email?' after they already said yes.

What it does

Automated follow-up lets you build a multi-step sequence (send an email now, wait two days, send a follow-up, wait three more, send another) and have Outsolvi send each step for you, on schedule, from your connected Outlook or Gmail account. Each step is a real one-to-one email in the same thread, not a mass blast. The sequence stops the instant the recipient replies. You can have Outsolvi send each step automatically, or just remind you to send it with one click. The new Follow-up Workspace lets you stack more steps onto a sequence that's already running, or revive an old thread that went cold weeks ago, without rebuilding anything.

Why it matters in 2026

  • Following up is the highest-leverage sales activity, and the one most likely to get dropped. Most replies come on the second, third, or fourth touch, so the seller who follows up consistently wins more, all else equal.
  • Doing follow-up by hand does not scale. Past a few dozen open threads, you cannot remember who is owed which message on which day, and good prospects fall through the cracks.
  • A blunt mass-merge blast solves the memory problem but creates a worse one: it reads as spam, lands in promotions, and burns the relationship. Real one-to-one follow-up in the existing thread does not.
  • The biggest risk with any automation is the double-send, the sequence that keeps going after the person already replied. Stopping automatically on reply is what makes automation safe to actually turn on.

How it works

You build a sequence as a series of steps: each step is an email (with merge fields like first name and company, and optional copy variations) separated by wait times you set. When you enroll a contact, Outsolvi sends the first step from your connected Outlook or Gmail account and schedules the rest. A background process checks the queue every few minutes and sends each step when its wait time is up, threading it into the original conversation so it reads as a normal reply. Outsolvi watches the thread for a reply; the moment one arrives it marks the contact replied and cancels the remaining steps. You choose per sequence whether steps send automatically (send for me) or wait for your one-click approval (remind me to send). Sending is spread out and capped per day so it stays well within normal inbox limits, and you can pause, edit, or remove anyone from a sequence at any time.

How competitors handle this

Plenty of expensive sales-engagement platforms (Yesware, Salesloft, HubSpot Sales Hub) have email sequences, but they start at $35 to $45 per user per month and are built for big teams. Most sub-$30 trackers (Mailtrack, Streak, Right Inbox, basic Gmail trackers) have either no real sequencing or a thin version of it. Outsolvi puts real automated follow-up, with stop-on-reply and native Outlook plus Gmail sending, at the $7 base tier. And unlike almost all of them, Outsolvi can run the same follow-up across email and LinkedIn together.

Use cases for Automated Follow-Up

  • An AE working dozens of live deals who needs every thread to get its next touch on time, without a spreadsheet of reminders
  • A founder doing their own outreach who wants follow-ups to keep going while they build, and to stop the second a prospect replies
  • An agency or recruiter running the same proven follow-up steps across many contacts, personalized with merge fields
  • Anyone who has lost a deal to a follow-up that simply never went out

Frequently asked questions

Does the follow-up stop when someone replies?+

Yes, automatically. The moment Outsolvi sees a reply on the thread, it stops the rest of the sequence for that person. You will not send a follow-up to someone who has already answered.

Do the emails send from my real inbox?+

Yes. Each step is sent from your connected Outlook or Gmail account as a real one-to-one email, threaded into the original conversation. It is not a mass blast from a separate system, so it lands and reads like a normal email from you.

Can I have it remind me instead of sending automatically?+

Yes. Each sequence can be set to send for me (fully automatic) or remind me to send (Outsolvi queues the step and you send it with one click). Many people start in remind-me mode and switch to automatic once they trust it.

Will this look like spam?+

No. Follow-ups are real one-to-one emails in the existing thread, personalized with merge fields, sent on a spread-out schedule with daily caps. That is the opposite of a single mass-merge blast to a giant list.

Can I follow up on LinkedIn too, not just email?+

Yes. Outsolvi can run the same follow-up across email and LinkedIn together, so you reach people where they actually respond. See the multi-channel outreach and LinkedIn automation pages for how that works.

Can I pause or edit a sequence after it starts?+

Yes. You can pause a whole sequence, edit upcoming steps, or remove a specific person at any time. Changes apply to steps that have not been sent yet.

Can I add another follow-up to a sequence that's already running?+

Yes. Open the Follow-up Workspace, find the active sequence, click Add step. The new step queues up behind whatever was already scheduled, with a delay measured from the previous step. No rebuild required.

Can I follow up on an email I sent a month ago?+

Yes. The Workspace has a Revive Old Threads section that surfaces tracker rows older than seven days with no reply. Click Start follow-up on any one and the new follow-up still threads under the original conversation, so the recipient sees a normal reply in the same thread.
