Migrating from Yesware to Outsolvi

Someone searching how to migrate from Yesware is past the decision and looking for the execution-stage how-to. Typically an AE or sales-ops lead who has been on Yesware for years and is now switching for cost or Outlook-coverage reasons.

Yesware is the longest-running tracker in B2B sales — many teams have 5+ years of data, templates, and Salesforce sync set up. The migration is doable in 30 days for most teams with minimal disruption, but the specific steps matter because the wrong sequence (cancelling Yesware before extracting templates, or disabling Salesforce sync before establishing the Outsolvi webhook) costs continuity.

This guide is the day-by-day playbook. The migration is structured as: Day 0 prep (data export, account audit), Day 1 install (Outsolvi alongside Yesware, dual-run), Day 7 calibration (compare engagement data, tune confidence thresholds), Day 30 cutover (cancel Yesware, finalise the new workflow). For team rollouts of 3-15 reps, a phased pattern (champions first, then wave 2 and 3) reduces team-side disruption.

Pre-migration checklist (Day 0)

  • Export Yesware templates as CSV via Settings → Templates → Export. Some templates may need manual recreation in Outsolvi because the merge-tag syntax differs slightly.
  • Export Yesware tracked-sends report for the last 90 days via Settings → Reports → Export. This is your historical baseline — you'll compare Outsolvi open numbers against it during the calibration period.
  • Audit Salesforce integration: identify which Salesforce fields Yesware was writing to and whether any custom workflows depend on those activity types.
  • List the 5-10 sequences your team actually runs day-to-day. Most teams have far fewer active sequences than they think; the realistic recreate list is usually 3-5 sequences max.
  • Identify your migration champion — the rep or sales-ops lead who will run the rollout and serve as the team-side support during the calibration period.
  • Schedule a 30-minute kickoff call for the team to introduce Outsolvi, the migration timeline, and the dual-running approach (no surprise switchover).

Day-by-day migration plan

Day 0

Prep and data export

Complete the pre-migration checklist above. Templates exported, tracked-sends baseline captured, Salesforce integration audited. Do NOT cancel Yesware yet — you'll dual-run for 14-30 days.

Tasks
  • Templates exported and saved to shared drive
  • Last 90 days of tracked-sends baseline saved
  • Salesforce field mapping documented
  • Migration champion identified
  • Kickoff call scheduled for Day 1
Day 1

Install Outsolvi alongside Yesware

Both tools run in parallel during the calibration period. Outsolvi installs from Microsoft AppSource (Outlook) or Chrome Web Store (Gmail) in 2-3 minutes per surface. Tracking starts on the next sent email; existing emails-in-flight continue to track through Yesware.

Tasks
  • Install Outsolvi Outlook add-in via Microsoft AppSource (search 'Outsolvi')
  • Install Outsolvi Gmail extension via Chrome Web Store
  • Sign in with business email; complete onboarding
  • Run kickoff call with team — introduce Outsolvi UI, explain dual-running, set expectations on engagement-data differences
  • Each rep sends 5-10 test emails to confirm tracking is firing
Day 7

Calibration and engagement comparison

After a week of dual-running, compare the engagement data between Yesware and Outsolvi on the same campaigns. Open rates will look lower on Outsolvi (typically 20-40 percent) because Tier 4 (Apple MPP pre-fetches) and Tier 5 (scanner pre-fetches) are excluded. Reply rate is the cleaner side-by-side signal — if reply rate held while open rate dropped, the previous Yesware open data was inflated by 20-40 percent and the new Outsolvi data is more accurate.

Tasks
  • Compare last 7 days of Yesware open rates vs Outsolvi open rates on the same campaigns
  • Compare reply rates (should be similar — the human-engagement signal does not change between tools)
  • Tune hot-lead alert threshold if needed (default: 2 opens within 1 hour at Tier 1-2 confidence; high-volume senders sometimes tune up)
  • Test Salesforce webhook integration if applicable
  • Confirm team is comfortable with the Outsolvi UI; address questions
Day 14

Configure CRM integration and team workflows

Set up Outsolvi's webhook-based Salesforce activity logging (or HubSpot/Pipedrive depending on your CRM). Disable Yesware's CRM activity logging to prevent duplicate entries on the same contact records. Configure Slack alerts for hot-lead routing if applicable.

Tasks
  • Configure Outsolvi → Salesforce webhook in Outsolvi settings → Integrations
  • Test a few engagement events flowing into Salesforce as activity timeline entries
  • Disable Yesware's Salesforce sync to prevent duplicate activity logging
  • Set up Slack channel for hot-lead alerts (optional, recommended for AE teams)
  • Document the new workflow for the team — single source of truth for engagement data is now Outsolvi
Day 30

Cancel Yesware

After 30 days of running both tools, cancel the Yesware subscription. Historical Yesware data remains accessible during the cancellation window if you need to pull anything else. Outsolvi becomes the sole tracking tool going forward.

Tasks
  • Final export of any remaining Yesware reports or data
  • Submit Yesware cancellation request
  • Confirm cancellation date and final billing
  • Run team-wide retrospective: what worked, what didn't, what to tune
  • Update internal documentation to reflect Outsolvi as the standard tool

Common gotchas for Yesware migrations

Problem

Yesware's templates use a different merge-tag syntax than Outsolvi. Direct CSV import may not recreate templates correctly.

Solution
Recreate the 3-5 most-used templates manually in Outsolvi's template editor. Most teams find this takes 15-30 minutes total. Bulk-import for less-used templates can be done in batch.
Problem

Open numbers look meaningfully lower in Outsolvi than they did in Yesware, which can spook the team.

Solution
Surface this in the Day 7 calibration. The lower number is the result of confidence scoring excluding Tier 4 and Tier 5 (Apple MPP and scanner pre-fetches) that Yesware counted as opens. Reply rate is the cleaner side-by-side signal. If reply rate held, the Outsolvi number is more accurate.
Problem

Yesware Salesforce sync was writing to a custom activity type that Outsolvi's webhook doesn't replicate.

Solution
Configure the Outsolvi webhook to write to the same custom activity type. Outsolvi's integration settings let you map event types to Salesforce activity types during setup.
Problem

Team has built reporting in Salesforce that depends on Yesware-specific fields.

Solution
Audit the reports before Day 30. Either update the reports to read from the new Outsolvi-sourced activity entries, or configure Outsolvi to populate the same fields Yesware did.
Problem

Yesware Premium AI features were workflow-load-bearing (reply sentiment, send-time recommendations) and the team is worried about losing them.

Solution
Outsolvi includes reply sentiment and send-time optimisation on the $7 base tier. The features port over; the workflow stays similar.
Team rollout playbook

For teams of 3-5 reps, all-at-once rollout works fine — install on Day 1 across the team, dual-run for 14 days, cancel Yesware at Day 30. For teams of 5-15 reps, phased rollout reduces team-side disruption: Wave 1 (champion + 2 reps) on Day 1, Wave 2 (next 4-6 reps) on Day 7, Wave 3 (remainder) on Day 14. By Day 30, the team is fully on Outsolvi. For teams of 15+, an additional Wave for management and reporting workflows (Day 21) helps the manager dashboards transition cleanly.

Risk mitigation

Run Yesware and Outsolvi in parallel for the full 30 days, even on the last week before Yesware cancellation. The cost overlap (one extra month of Yesware) is meaningful but small relative to the risk of cutting over before the team is calibrated. If the rollout is going well by Day 21, you can early-cancel Yesware on Day 22, but the full 30-day overlap is the safer pattern. Keep Yesware historical data exported and stored locally; cancellation deletes the in-Yesware view but the export remains.

Frequently asked questions

Will my historical tracking data transfer from Yesware?+

No tool offers automatic historical-data migration between trackers. Outsolvi starts a fresh tracking history from install. The Yesware historical data remains accessible during your active subscription and can be exported before cancellation. Most teams find historical engagement data is rarely referenced after the first 30-60 days post-migration.

How long does the full migration take?+

30 days end-to-end including dual-running and team calibration. Day 0 prep is 1-2 hours. Day 1 install is 2-3 minutes per rep. Days 7 and 14 are calibration days with 30-60 minutes of work each. Day 30 cancellation is 15 minutes. Total active time is roughly 4-6 hours over 30 days; the rest is passive dual-run during normal sales work.

What's the cost overlap?+

One month of Yesware running in parallel with Outsolvi. For a 5-rep team on Yesware Premium ($35/user/mo yearly), the overlap cost is roughly $175. Most teams consider this acceptable for the de-risking of cutting over cleanly versus a hard switch.

Will my Salesforce activity history have a gap?+

No gap if you configure the Outsolvi webhook before disabling Yesware's Salesforce sync. The activity timeline on each contact continues uninterrupted; just the source of the activity events changes mid-migration. Audit the Salesforce reports that depend on activity types before Day 14 to ensure the transition is clean.

What if my team misses Yesware-specific features after switching?+

Two common gaps. (1) Meeting scheduler — Yesware bundles one; Outsolvi does not (pair with Calendly). (2) Document tracking with page-level analytics — Outsolvi tracks email + click on document link; for page-level analytics inside the document, pair with DocSend or PandaDoc. Both gaps are typically acceptable trade-offs against the cost and confidence-scoring benefits, but worth flagging during the kickoff so the team isn't surprised.

Can I extend the dual-run period beyond 30 days?+

Yes. The 30-day plan is the minimum recommended. Teams with longer evaluation cycles or higher risk tolerance extend dual-running to 60 days. The extra cost is meaningful but small relative to the value of cutting over with full team confidence.

Nate SummersCo-Founder, Outsolvi

Nate built Outsolvi after watching every email-tracking tool he had ever used lie to him about opens. Outsolvi runs Tier 1 to 5 confidence scoring on every open, native in Outlook and Gmail, so the number on the dashboard is one a rep can actually act on.
