How to send automatic follow-up emails in Outlook when someone doesn't reply
Outlook is good at reminding you to follow up and bad at doing it for you. A follow-up flag or reminder tells you when to chase someone, but you still have to write and send the email by hand, and nothing in Outlook checks whether they already replied first.
This guide covers both. First, what Outlook can do on its own and when that's enough. Then how to set a follow-up that sends automatically from your own mailbox, lands as a reply in the same thread, and cancels itself if the person answers before it's due.
Before you start
- Classic Outlook for Windows, new Outlook, or Outlook on the web (on a Mac, use Outlook on the web)
- The Outsolvi add-in installed, for follow-ups that send automatically
- Your Outlook or Microsoft 365 account connected to Outsolvi, so it can send the follow-up from your mailbox
Step-by-step
- 1
Decide whether a reminder is enough
If you only need a nudge, Outlook's own flag works. In the message, select Follow Up and pick Today, Tomorrow, This Week, Next Week or Custom, or choose Add Reminder to get a pop-up at a set time. The reminder is for you. It sends nothing to the recipient, and it goes off whether or not they replied.
- 2
Send the original email with tracking on
Send your email from Outlook with the Outsolvi add-in tracking it. The follow-up attaches to that tracked email, which is how it knows the thread to reply into and which reply should cancel it.
- 3
Open the sent email and choose Schedule follow-up
Open the email from Sent Items, open the Outsolvi add-in, and select Schedule follow-up. The panel tells you the follow-up will thread under this conversation, so the recipient sees it as a reply to your first email rather than a new one.
- 4
Write the follow-up
Add a subject and a message. Keep it short and give them an easy reason to answer: one question, one date, or the one thing you need. A follow-up that only says you're checking in gives them nothing to reply to.
- 5
Pick when it sends
Under Send after, choose 1 day, 3 days, 1 week or 2 weeks after the original. In classic Outlook the list is called When to send and also offers hours or a custom delay. Shorter gaps suit a live deal or a meeting request; longer gaps suit a cold first touch.
- 6
Choose Auto-send or a prompt
Auto-send (recommended) sends the follow-up for you when it's due. Notify me to send manually gives you a prompt instead, which is useful when you want one last read before it goes.
- 7
Let it stop on reply
If the person replies before the follow-up is due, Outsolvi cancels the remaining follow-ups for that email. Nobody gets chased after they've already answered, which is the mistake that makes automatic follow-up feel like spam.

Outsolvi installs as a native Outlook add-in or Gmail Chrome extension. Every open is graded, hot leads get flagged in the web app, and Write with AI drafts your follow-ups there too. From $7/mo, 14-day free trial.
Troubleshooting
Schedule follow-up doesn't appear in the add-in
It shows on emails that were sent with Outsolvi tracking. An email sent before the add-in was installed, or with tracking turned off, has no tracked thread for the follow-up to reply into. Send the next one with tracking on.
The follow-up still went out after they replied
Check whether they answered in a new email rather than replying to yours, or from a different address. A reply that isn't on the same thread may not be matched to the original, so the follow-up can still send.
The Outlook reminder never popped up
A flag on its own doesn't create a pop-up. Use Follow Up and then Add Reminder, and set the date and time you want the reminder to appear.
Frequently asked
Can Outlook send a follow-up automatically without an add-in?
Not based on whether someone replied. Outlook can flag a message, remind you at a set time, and schedule a message to send later, but it has no setting that checks for a reply and sends a follow-up only if there isn't one.
Does the follow-up come from my own mailbox?
Yes. Outsolvi sends it through your connected Outlook or Microsoft 365 account as a reply in the same thread, so it arrives like an email you sent yourself. During a trial it ends with a short "Sent with Outsolvi" line.
What happens if they reply before the follow-up is due?
Outsolvi cancels the remaining follow-ups for that email, so nothing else goes out to them.
Does this work in new Outlook and Outlook on the web?
Yes. The Outsolvi web add-in runs in new Outlook and Outlook on the web, and classic Outlook uses the desktop add-in. Schedule follow-up is in all three, with the same choice of Auto-send or a prompt to send it yourself.
Is the follow-up I write stored?
Yes. To send it later, Outsolvi stores the follow-up you write, encrypted at rest. Tracking the original email doesn't need its body, but follow-ups need a connected mailbox, and its mail, sent mail included, is synced and stored encrypted.

Nate built Outsolvi after watching every email-tracking tool he had ever used lie to him about opens. Outsolvi grades every open as a person or a machine, in Outlook and Gmail, so the number on the dashboard is one a rep can actually act on.
We update these pages when the underlying mechanics change. new mailbox-provider rules, new tracker behavior, new measurement gaps. The dates above are real revisions, not auto-touches.
