Email Automation

Also known as: Automated Email, Drip Campaign, Triggered Email

Quick Definition

Email automation is the practice of sending email programmatically based on triggers, schedules, or recipient behaviour rather than manually. Types include welcome sequences, drip campaigns, behavioural triggers, lifecycle campaigns, and abandonment recovery. Automation enables consistency and scale at the cost of per-send personalization quality.

Automation isn't one thing. The taxonomy below covers the major types.

Types of automation

  • Welcome sequence: triggered on subscription / account creation. Series of 3-7 messages over 2-3 weeks.
  • Drip campaign: time-based cadence sent to a segment. Educational, not behaviour-triggered.
  • Behavioural trigger: fires when recipient performs a specific action (clicked link, viewed page, downloaded asset)
  • Lifecycle campaign: tied to recipient's lifecycle stage (trial start, trial expiry, renewal)
  • Abandonment recovery: fires when expected action didn't happen (cart abandoned, application incomplete)
  • Transactional: response to user-initiated action (receipt, confirmation)

  • Marketing automation: HubSpot, Marketo, Pardot, Klaviyo
  • Cold-outbound sequencing: Outreach.io, Salesloft, Saleshandy, Apollo, Lemlist
  • Transactional: Postmark, SendGrid, Mailgun (often via API, not UI-driven)
  • Lifecycle: Customer.io, Iterable, Braze

Design principles

  • Test the trigger conditions before deploying; mis-triggered automation creates immediate spam complaints
  • Frequency cap across all automations to prevent recipients getting bombed
  • Provide unsubscribe at the campaign level, not just the global level (a recipient might want to opt out of one automation but stay subscribed to others)
  • Monitor per-automation engagement; stale automations decay fast
