Mailbox Provider

A mailbox provider (MBP) is the company that hosts inbound email for a domain or consumer, providing storage, spam filtering, and reading interfaces. Google (Gmail and Workspace), Microsoft (Outlook.com and 365), Yahoo, and Apple Mail collectively host the majority of B2B and consumer email in 2026.

Each major mailbox provider filters inbound mail differently. Senders that work well with one can fail at another. Understanding the per-provider patterns is half of deliverability work.

Google (Gmail + Workspace)

  • Heavy emphasis on engagement signals (opens, replies, marks-as-not-spam)
  • Sustained low engagement triggers spam-folder placement
  • Bulk-sender rules effective Feb 2024 require one-click unsubscribe, complaint rate <0.3%, DMARC at p=none minimum
  • Strong AI classifier; new senders ramped slowly

Microsoft (365 + Outlook.com)

  • Heavy emphasis on IP reputation and authentication

  • More aggressive on cold outbound than Gmail

Yahoo (incl. AOL)

  • Engagement-driven similar to Google

  • Smaller share; often co-tested with Gmail

Apple

  • iCloud Mail is smaller share but growing
  • Apple MPP applies to any mail read in Apple Mail app, regardless of mailbox provider
